Code of Conduct

XRM2024 is a scientific conference intended for the international X-ray microscopy community. 

We value the participation of each member of the XRM community and want all attendees to have an enjoyable and fulfilling experience. Accordingly, all attendees are expected to show respect and courtesy to other attendees throughout the conference and at all conference events, whether officially sponsored by XRM2024 or not. 

All delegates/attendees, speakers, exhibitors, organizers and volunteers at any XRM2024 event are required to conform to the following Code of Conduct.

Organizers will enforce this code throughout the event.

In short 

XRM2024 is dedicated to providing a harassment-free conference experience for everyone, regardless of gender and gender identity, sexual orientation, disability, physical appearance, body size, race, or religion. We do not tolerate harassment of conference participants in any form. 

All communication should be appropriate for a professional audience including people of many different backgrounds. Sexual language and imagery is not appropriate for any conference venue, including talks. 

Be kind to others. Do not insult or put down other attendees. Behave professionally. Remember that harassment and sexist, racist, or exclusionary jokes are not appropriate for XRM2024. 

Attendees violating these rules may be asked to leave the conference without a refund at the sole discretion of the conference organizers.

The Complete Version 

Harassment includes offensive communication related to gender and gender identity, sexual orientation, disability, physical appearance, body size, race, religion, sexual images in public spaces, deliberate intimidation, stalking, following, harassing photography or recording, sustained disruption of talks or other events, inappropriate physical contact, and unwelcome sexual attention. 

Participants asked to stop any harassing behavior are expected to comply immediately. 

Exhibitors at sponsor booths or similar activities are also subject to the anti-harassment policy. In particular, exhibitors should not use sexualized images, activities, or other material. Booth staff (including volunteers) should not use sexualized clothing/uniforms/costumes, or otherwise create a sexualized environment. 

Be careful in the words that you choose. Remember that sexist, racist, and other exclusionary jokes can be offensive to those around you. Excessive swearing and offensive jokes are not appropriate for XRM2024. 

If a participant engages in behavior that violates this code of conduct, the conference organizers may take any action they deem appropriate, including warning the offender or expulsion from the conference with no refund.

Conference staff will be happy to help participants contact venue security or local law enforcement, provide escorts, or otherwise assist those experiencing harassment to feel safe for the duration of the conference. We value your attendance.

IUPAP Support for Free Circulation of Scientists / Policy on Harassment

The XRM2024 conference supports the International Union of Pure and Applied Physicists (IUPAP) Policy on Free Circulation of Scientists and the IUPAP policy statement on harassment at conferences.

Free Circulation of Scientists: The principle of the Universality of Science is fundamental to scientific progress. This principle embodies freedom of movement, association, expression and communication for scientists, as well as equitable access to data, information and research materials. In pursuing its objectives with respect to the rights and responsibilities of scientists, the International Union of Pure and Applied Physics (IUPAP) actively upholds this principle, and, in so doing, opposes any discrimination on the basis of such factors as ethnic origin, religion, citizenship, language, political stance, gender, or age. IUPAP should only sponsor conferences and events at institutions and in countries that uphold this principle. If scientists are excluded from attending IUPAP-sponsored international conferences by a host institution or country on the basis of any of these factors, IUPAP should register its concern at the highest level of that institution or country, and should not sponsor any future events in that country until such exclusions have been eliminated. Harrassment at Conferences: It is the policy of the International Union of Pure and Applied Physics (IUPAP) that all participants in Union, and Union-endorsed activities will enjoy an environment which encourages the free expression and exchange of scientific ideas, and is free from all forms of discrimination, harassment, and retaliation. The conference organisers will name an advisor who will consult with those who have suffered from harassment and who will suggest ways of redressing their problems, and an advisor who will counsel those accused of harassment. The conference organisers may, after due consideration, take such action they deem appropriate, including warning or expulsion from the conference without refund. Attendee Procedure for Handling Harassment

This procedure has been adopted from the Ada Initiative’s guide titled “Conference anti-harassment/Responding to Reports” and PyCon 2017’s policy.

  1. Contact either staff personnel (Karina or Maik). The staff will also be prepared to handle the incident. All of our staff members are informed of the code of conduct policy and guide for handling harassment at the conference. There will be a mandatory staff meeting onsite at the conference when this will be reiterated as well.
  2. Report the harassment incident (preferably in writing) to Stephanie, Stephen or Kelly Michael – all reports are confidential.
  3. When reporting the event to staff, try to gather as much information as available, but do not interview people about the incident – Staff will assist you in writing the report/collecting information.
  4. The important information consists of:
  • Identifying information (name) of the participant doing the harassing
  • The behavior that was in violation
  • The approximate time of the behavior (if different than the time the report was made)
  • The circumstances surrounding the incident
  • Other people involved in the incident

The staff is well informed on how to deal with the incident and how to further proceed with the situation.

If everyone is presently physically safe, staff will involve law enforcement or security only at a victim’s request. If you do feel your safety in jeopardy please do not hesitate to contact local law enforcement by dialing 112. If you do not have a cell phone, you can use any hotel phone or simply ask a staff member.
